Use AI with confidence, and with the records to prove it

Regulators, insurers, and your own customers are starting to ask how your business uses AI. We help you put the policies, controls, and documentation in place so you have clear answers ready when they ask.

Sound familiar?

You probably need this if…

  • Staff are already using AI tools, and nobody has written down which ones or for what
  • Your cyber insurance application or renewal asked about AI use, and you were not sure how to answer
  • A customer or partner sent a security questionnaire with AI questions on it
  • You use AI in hiring, customer communications, or decisions that affect people
  • You want to roll out AI more widely but need guardrails first
  • Nobody in the business clearly owns AI risk

What AI governance actually means for a business your size

AI governance sounds like something only large enterprises need, but at its core it answers a few practical questions. Which AI tools are we using? Who approved them? What data goes into them? Who checks the output before it reaches a customer? And can we show any of that if someone asks? For most small and mid-sized businesses, the honest answer today is that nobody is sure, because AI arrived one free account and one browser extension at a time.

Governance is the set of policies, owners, controls, and records that turn that uncertainty into something you can manage. It is not about banning AI or slowing your team down. Done well, it makes adoption faster, because people know which tools are approved, what they can safely put into them, and who to ask when something new comes along. It also gives leadership a clear picture of where AI is helping and where it carries risk.

Why it matters now

The rules for business AI are still being written, and they are arriving from several directions at once. The EU AI Act sorts AI uses into risk categories with different obligations. U.S. states, Colorado among them, have passed or proposed laws focused on AI used in consequential decisions. Sector rules in healthcare, finance, and employment already apply to AI that touches protected data or decisions. These laws are evolving, and whether they apply to you depends largely on how you use AI, not simply on your company size.

Insurance is moving just as quickly. Cyber and liability carriers have started adding AI questions to applications and renewals, asking whether you have a written AI policy, an inventory of tools, and human review of outputs. Enterprise customers are doing the same in vendor security reviews. A governance program means you can answer those questions accurately, with evidence, instead of guessing or leaving boxes blank.

How we build your governance program

We start by inventorying and assessing every AI tool in use, including the ones staff adopted on their own. For each tool we record the owner, the data it touches, and how much risk it carries. From there we write an AI acceptable use policy and an approval process for new tools, in plain language your staff will actually read, and we name the people accountable for each area.

Next come controls: human review where output reaches customers or affects decisions, role-based access, clear data boundaries, vendor due diligence on the underlying AI providers, an audit trail of who did what, and transparency where people interact with AI. We document all of it in a living record organized for auditors, insurers, and customer security reviews. The level of control matches the level of risk, so a tool used to brainstorm internally does not get the same scrutiny as one that touches client records.

Finally, we monitor and report. AI tools change, staff find new ones, and laws and insurer expectations keep shifting. We review your program on a regular schedule, check for misuse and drift, and update your policies and records so they stay accurate rather than becoming a binder nobody opens. Leadership gets a plain-language summary of where AI is in use, what has changed since the last review, and what needs a decision, so governance stays a routine part of running the business.

Built on recognized frameworks, not a moving target

Rather than chasing each new law separately, we build your program on frameworks that regulators and auditors already recognize. The NIST AI Risk Management Framework organizes the work into four functions: Govern, Map, Measure, and Manage. ISO/IEC 42001 defines a management system for AI, much as ISO/IEC 27001 does for information security. Mapping your program to these frameworks means much of the groundwork is already in place as new requirements appear.

This is technical and operational governance, not legal advice. Framework alignment does not imply certification or guarantee legal compliance. Where a specific law needs interpretation, we work alongside your attorney, and coverage decisions always remain with your insurance carrier. Our job is to make sure the policies, controls, and evidence exist and are kept current. That division of labor keeps each expert in their lane and gives you a program you can defend from both a technical and a legal standpoint.

Frequently asked questions

We are a small business. Do AI regulations really apply to us?

Many AI rules apply based on what the AI is used for rather than company size. Hiring, lending, insurance, healthcare, and customer-facing decisions get the most attention. Insurers and enterprise customers are also asking businesses of every size about AI. A governance review shows where you stand and what is worth doing now.

Does this cover AI tools we already use, like ChatGPT or Copilot?

Yes. Governance covers all AI in your business, not only the platforms we provide. Existing tools and anything staff adopted on their own go into the inventory and the policy.

Can you help with our cyber insurance application?

Yes. We help you put the controls in place and assemble the documentation underwriters ask for about AI use, and we can work alongside your broker. Coverage decisions are always up to your carrier.

How do you keep up as laws change?

Your program is built on recognized frameworks such as the NIST AI RMF and ISO/IEC 42001, and we review it on a regular schedule as new laws and insurer requirements emerge.

Is this legal advice?

No. We provide technical and operational governance services. For legal interpretation of specific laws, we work alongside your attorney.
